The Office Administration Assistant will support the daily operations of the office, ensuring smooth and efficient administrative processes. This role involves managing schedules, handling correspondence, coordinating office supplies, and assisting with internal communications. The ideal candidate will be proactive, detail-oriented, and committed to maintaining a well-organized and professional work environment.
Key Responsibilities
• Provide general administrative support including answering phones, managing emails, and handling incoming/outgoing correspondence.
• Maintain and organize office files, records, and documentation both physically and digitally.
• Coordinate meetings, appointments, and travel arrangements for staff and executives.
• Monitor and manage inventory of office supplies, placing orders as needed to ensure availability.
• Assist in preparing reports, presentations, and other documents for internal and external use.
• Liaise with vendors and service providers to ensure timely delivery and maintenance of office resources.
• Support onboarding of new employees by preparing workstations and coordinating orientation materials.
• Ensure compliance with company policies and procedures in all administrative tasks.
Skills & Qualifications
• Minimum of 5 years of experience in administrative support or office management.
• Strong organizational skills to manage multiple tasks and priorities effectively.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
• Fluent in English and Spanish.
• Excellent verbal and written communication skills for professional interaction with staff and external contacts.
• Ability to work independently and collaboratively within a team.
• Problem-solving skills to address administrative challenges efficiently.
• Attention to detail to ensure accuracy in documentation and scheduling.
• Time management skills to meet deadlines and maintain workflow.
